TEMPLATE — PENDING LEGAL REVIEW. This page is a working draft and must be reviewed and tailored by a qualified lawyer before launch. The jurisdiction, regulator and specific obligations below are placeholders.
Who we are
AscendifyNow runs this website and decides how the personal information collected through it is used, which makes us the data controller for it. The legal entity name, registered address and any registration number are [To be completed with legal review].
What we collect
When you contact us or apply for a role, we collect the information you choose to send, such as your name, contact details and any files you attach. We also collect limited, privacy-respecting analytics about how the site is used.
How we use it
- To respond to your enquiry or application.
- To provide the services you ask us for.
- To understand, in aggregate, how the site is used so we can improve it.
Why we use your data
We use your data to reply to enquiries, to manage job applications, to run and secure the site, and to keep privacy-respecting usage statistics. Our lawful basis for each purpose (for example consent, legitimate interests, or taking steps before entering a contract) is [To be completed with legal review].
How long we keep it
Candidate CVs and application documents are kept for a retention window that is configurable in site settings, with a default of 730 days. How long we keep lead and enquiry data is to be confirmed. Beyond that, we keep personal information only as long as we need it for the purpose it was given, or as long as the law requires. The confirmed retention periods for each category are [To be completed with legal review].
Where your data is processed
Our site and the self-hosted tools behind it run on infrastructure we operate. Where any data is processed or stored outside your own country, the locations and the safeguards used for those international transfers are [To be completed with legal review].
Who processes data on our behalf
This site uses the following tools. We list only what this site actually uses, and nothing is presented as a legal guarantee:
- ALTCHA — spam check on our forms, self-hosted.
- Cal.com — booking and scheduling, self-hosted.
- Twenty — our customer relationship management (CRM), self-hosted.
- Umami — privacy-respecting, cookieless analytics, self-hosted.
- An SMTP email provider — sends and receives our email. [To be named by the owner.]
- A hosting provider — runs the servers behind the site. [To be named by the owner.]
Candidate CVs are stored privately and are visible only to recruiting staff. They are not published, shared with other candidates, or used for anything other than considering your application.
Consent on our forms
The consent checkboxes on our contact and application forms cover letting us use the details you send to reply to you, to handle your enquiry or application, and to contact you about it. They do not sign you up to marketing. The exact wording and scope of each checkbox is [To be completed with legal review].
Your rights and how to use them
Depending on where you live, you may have rights to access, correct or delete the information we hold about you. If you have a candidate account, you can export your data at /portal/data/export and delete your account at /portal/data/delete. For anything else, contact us using the details below. The full list of rights and how we verify requests is [To be completed with legal review].
